Payroll Administrator

POSITION TITLE: Payroll Administrator

DEPARTMENT: Accounting

REPORTS TO: Controller

MAJOR DUTIES: The Payroll Administrator will accurately process the biweekly payroll on time, and in accordance with established practices and company policy. The incumbent will ensure compliance is maintained with all required legislation, and ensure that reported results comply with generally accepted accounting principles, while delivering the Eclipse Vision and the Eclipse Entrepreneurial Culture.


• Administer biweekly payroll for a medium sized non-unionized business
• Accurately maintain all employee information using Nebs PayWeb
• Monitor and ensure Absent Days are completed in Database
• Determine biweekly premium deductions for group benefits (LTD, STD, AD&D, Life & Dep Life)
• Process garnishment requests
• Calculate and process shift premium as required
• Calculate and process statutory holiday pay
• Process and record on-call pay as required
• Administer bi-annual vacation payouts
• Calculate and record taxable benefits as they occur while ensuring compliance with CRA
• Ensure proper deductions are made with regard to voluntary deductions (RRSP, Clothing, Gym, Social Club, Golf Tournament, etc.)
• Complete ROE’s using CRA’s ROE Web
• Create and enter payroll journal entries
• Prepare monthly spreadsheet for employee RRSP contributions
• Monitor and review PIER report
• Calculate and remit monthly WSIB remittances
• Annual reconciliations including T4’s, EHT and WSIB
• Responsible for payroll related audits
• Ensure that processes and procedures are compliant with legislation and internal guidelines
• Provide exceptional customer service when fielding questions from employees
• Assist the accounting team with payables and other non-payroll duties as required



• Diploma in Business Administration Accounting or Bookkeeping
• PCP Certification


• 5 years of payroll experience required including pension administration
• Nebs PayWeb experience preferred or ADP/Ceridian
• Sage 50 Accounting Software
• Exceptional attention to detail is absolutely essential
• Ability to communicate effectively both verbally and in writing
