Purchasing Coordinator

POSITION TITLE: Purchasing Coordinator
DEPARTMENT: Purchasing
REPORTS TO: Materials and Quality Manager

MAJOR DUTIES: Assist in the administration and clerical functions of the purchasing department. Work indirectly with Project Management, Operations and Design Engineers to ensure project goals are met on budget. The incumbent will also work with Shipping and Receiving to ensure that materials and equipment received are delivered to meet project requirements. Work with the management and department personnel to deliver the Eclipse Vision and the Eclipse Entrepreneurial Culture.

PRIMARY RESPONSIBILITIES:

Technical: 

  • Process MRO and project-related purchasing requirements as directed
  • Create and issue authorized purchase orders to approved vendors
  • Review internal requisition requirements in order to verify specifications, and accuracy
  • Proactively track and expedite outstanding purchase orders with vendors to ensure adherence to contract delivery terms; investigate and resolve issues with late deliveries, shortages, etc., as required
  • Create RFQs (Request for Quotes), to compare vendors’ pricing, availability, and production capabilities, while being aware of vendor quality systems and previous purchase history
  • Prepare bills of lading, invoices, and customs documents as required

Project Execution: 

  • Liaise between all departments to ensure on time delivery of purchased items and on time delivery of Eclipse machinery and equipment
  • Provide assistance for project and department budgets, pricing, delivery of goods and services
  • Assist in managing levels of inventory items
  • Assist the Buyers and/or Manager on special projects as requested
  • Maintain accurate purchasing files
  • Promote positive relations with partners, customers, vendors, and distributors
  • Demonstrate continuous efforts to improve internal processes and procedures through continuous improvement.
  • Investigate and resolve questions / issues associated with vendor invoices
  • Gather and analyze data and make recommendations to improve efficiency and cost effectiveness of materials, goods and services
  • Complete other duties and projects as assigned.
  • Must be self-motivated and lead by example with a positive attitude and outlook.
  • Ensure that all business activities are performed with the highest ethical standards and in compliance with the Eclipse Automation Inc. Conduct Code.
  • Adhere to the Eclipse Project Operating Policy.
  • Maintain a good corporate citizen role in support of the Eclipse corporate Vision.
  • Adhere to all Health and Safety rules and procedures.
  • Foster the development of a culture reflective of the core values of the business

QUALIFICATIONS: 

EDUCATION:

  • University Degree or College Diploma in Materials Management, Business Management or a Purchasing / Administration for Businesses related program
  • Working toward a Certified Professional Purchaser (CPP) designation would be an asset

EXPERIENCE:

  • Work requires professional written and verbal communication; interpersonal skills and driven with ability to provide leadership in a hands on environment, assertive, dependable and resourceful to successfully interact with engineering and operations staff
  • 1-2 years’ experience in a similar role
  • Knowledge of raw materials, mechanical, and electrical items would be preferred
  • Knowledge of Transportation / Logistics functions is an asset
  • Excellent organizational skills
  • Must have computer skills with MS Office, email and internet
  • Previous experience with custom ERP Systems is an asset
  • Ability to read blueprints is an asset
