Quality Coordinator

POSITION TITLE: Quality Coordinator
REPORTS TO: Quality Manager


Reporting to the Quality Manager, the Quality Coordinator assists in the administration and clerical functions of the Quality Department.  Working with Purchasing and Engineering as required, the incumbent will address quality documentation requirements ensuring documentation supplied meets drawing requirements.  Enter information as required into the database receiving interface, ensuring all quality records are scanned for inclusion into history files. Upon completion of a project, scan drawing packages into the database.


  • Retrieve receiving documentation from shippers/receivers for nuclear shipments
  • Review of quality documentation (MTR’s, C of C’s, Test Certificates, Dimensional Reports, etc…) as received from vendors to ensure strict purchase order and drawing requirements are maintained
  • Work with Quality Engineer, Mechanical Engineering, Manufacturing and Purchasing to address any documentation discrepancies
  • Organize and approve quality documentation
  • Receive items into the database using the receiving interface
  • Scan the quality records into the system for traceability and inclusion into the history file
  • Create and deliver required paperwork for receivers and accounting
  • Maintain spreadsheet of active PO’s in quality for review
  • Liaise with all departments to ensure timely processing of PO’s
  • Investigate and resolve questions / issues associated with open PO’s
  • All other day-to-day, ad-hoc requirements as directed
  • Perform a variety of general office support duties such as document preparation, using MS Office and filing
  • Scan all manufacturing drawings upon completion of each automation project for inclusion into the history file
  • Work with IT on improvements to the history file scanning process
  • Perform periodic audits of the electronic history file, identifying any deficiencies
  • Demonstrate continuous efforts to improve internal processes and procedures through continuous improvement
  • Promote positive relations with partners, customers, and vendors
  • Maintain company confidentiality
  • Maintain good corporate citizen role in support of the Eclipse corporate vision
  • Adhere to all health and safety rules and procedures
  • Ensure that all business activities are performed with the highest ethical standards and in compliance with the Eclipse Automation Inc. Conduct Code



  • Diploma/Degree in Business Administration or 5 years’ experience in an administrative role


  • Work requires professional written and verbal communication; interpersonal skills and driven with ability to provide leadership in a hands on environment, assertive, dependable and resourceful to successfully interact with engineering, purchasing and manufacturing staff
  • Knowledge of raw material and manufacturing processes
  • Excellent organizational skills and attention to detail
  • Must have computer skills with MS Office, email and internet
  • Ability to read mechanical manufacturing drawings
  • Ability to communicate effectively both verbally and in writing
  • A passion for providing quality customer service and building effective business relationships
